What do I need to do to set up my postcards?

When mailing postcards, the following steps should be followed:
  1. Establish the timeline for your postcard delivery based on your election start date.
    1. The delivery time can vary, but we currenlty have been seeing deliveries approximately 8-9 days after we submit the print run to our printer. 
    2. Please Note:  The postal service takes longer (sometimes up to 3 weeks) around the holiday season ,which runs October through January 1. Please keep this in mind when confirming your mail date.
  2. Identify to whom the postcards should be sent (ie. everyone, a specific group, only those without email address, bounces, etc)
  3. AV will send a draft of the postcard for your review
    1. Your welcome email will include a link to the PDF template as your first draft of your postcard.
    2. If you have sent a postcard for a previous election, we may use your previous year's final postcard as your templatestarting point for your next election.
  4. Review the postcard draft and provide revisions to AV at least 15 business days before the election start date
  5. If you purchased our election set-up service, send the final mailing list to AV 15 business days before the election start so that it can be uploaded.
  6. If you did not purchase the election set-up service, please upload the final mailing list 12 business days before the start of the election
    1. We will download the mailing list directly from your site.
  7. Final edits for the postcards must be back 11 business days before the election starts
  8. AV will send the final postcard for approval and request approval/sign-off for print 10 days before the election start
  9. Once final approval is received, the postcards will be sent to our printer to be printed and mailed. (9 business days prior to the election start)

The format for how the CSV should look is below. More data points can be included but it is important that they follow the below field order.  Additional fields should be added to column L and beyond.   

First Name, Last Name, Company, address 1, address 2, City, State, Zip code, Country (this should contain the 2 letter country code), Unique login 1, Unique login 2.
