Bounce Report: How are undelivered emails handled?
When your email campaign isn't successfully delivered to the email addresses listed for your voters, we make several attempts to deliver the email over a 3 day period. Upon Day 3, the email statuses will be displayed on the Email Announcement -> Browse campaign table.
TYPES of UNSUCCESSFUL DELIVERY:
- Blocked - Email refused by voter's automated email system. If voter has an alternate email, consider changing to it.
- Bounce - Email is invalid, most likely there is an error in the username portion before (left of) the @ sign. Consider correcting/changing it.
- Invalid Email - Email could not be delivered, most likely due to an error in the domain portion after (right of) the @ sign. Consider correcting/changing it.
- Reported as Spam - Voter has reported the email as spam and therefore does not wish to receive further emails.
- Unsubscribed - Voter has requested no further emails.
HANDLING of UNSUCCESSFUL DELIVERIES:
- Blocked: If a 500-series code (permanent block) is received, it will not be retried. If a 400-series code (transient block) is received, it is retried multiple times over a 72 hour window to deliver, and then, if a 400 is consistently received, it will give up. This is standard practice for SMTP per RFC.
- Bounce: It will not be retried. We are told it is not an acceptable username from whatever email server is authoritative for the domain. The error is most likely an incorrect username (left of @).
- Invalid Email: It will not be retried. There is no authoritative email server for the domain. The error is most likely an incorrect hostname (right of @).
- Reported as Spam: No reattempts to deliver the email will be conducted.
- Unsubscribed: We will no longer send emails to this address without a direct request from the email owner for resubscription.
ACTIONS TO IMPROVE YOUR DELIVERY RATE OF YOUR EMAIL
1 Please upload an up-to-date email list to the election admin portal. If email addresses bounce for your delivery of your Newsletter, then the same email will bounce for AV.
2 Be sure to have your members add announcement@associationvoting.com to their email address book to avoid the announcement from going to their junk mail or get
blocked by their spam filter. Communicate this instruction in multiple mediums. Via your newsletter or member email and include the information on your website with your election details and candidate bios.
